Registration Policy
Thank you for considering the PACE Trail Race Series! PACE is a small, family owned series with a simple goal: To offer runners a professional, memorable, scenic and challenging race series that feels inclusive, welcoming and rewarding. We've tried to make our policies as fair as possible, to balance the health of our operation with flexibility for our participants.
You accepted these policies during the registration process, but if for any reason you no longer agree, you have 24 hours following registration to request a cancellation of your race entry and payment.

- Once a race distance is sold out, that's it - there will be no new spots, no waitlist, and no transfers.
- Bibs are not transferrable to another runner under any circumstances.
- Up to 30 days before race day, we offer a 100% deferral of fees, towards another NOT YET SOLD OUT, PACE Trail Runs event.
- Between 14 to 30 days before race day, we can arrange a 50% deferral of race fees, towards another NOT YET SOLD OUT, PACE Trail Runs event.
- Within 2 weeks of race day - No refunds. No deferral. No exceptions.
- Full refunds can ONLY be processed for anyone who selects the optional refund insurance during registration.
- At any time, you can request to drop down in distance within the same event. There is no cost or refund for dropping down. We do not allow runners to move up in distance.
- In the event of cancellation of the event for reasons including, but not limited to, weather, forest fires, acts of nature, war, strikes or other circumstances, PACE Trail Runs will provide the following limited refund and discount towards the same event in the following year:
- early access to registration for the same event for the following year only;
- a 25% discount on registration for any distance in the same event for the following year only;
- a partial refund of your entry fee, calculated by PACE Trail Runs, accounting for factors such as incurred event expenses;
- the option for a full refund on any event merchandise that has been purchased; and

Gender Policy
PACE Trail Runs strives to create an inclusive, welcoming and positive environment for everyone. Our goal is to inspire increased participation by transgender and gender diverse runners and to make everyone on the starting line feel welcome. Athletes may register as the gender they identify with. With this in mind, we have established a Transgender and Non-Binary Runner inclusion policy.
Entrance Policy for Transgender Athletes
Challenges may be made to results, which are directly related to a runner’s self-declared gender, only when a top 3 position is at stake. A challenge must be made in writing or email to the Race Directors within 72 hours of race completion and must be submitted privately and with the utmost discretion and respect for all parties involved. We request that neither party publicly post or discuss the challenge until a decision has been reached by the race. Challenges not related to a runner’s gender status, such as course cutting or other rule violations, will be handled via our standard review and inquiry process.
In the event of a challenge, or as deemed necessary, PACE Trail Runs may request supporting documentation from a medical professional. Transgender entrants, at their option, may provide medical documentation related to their transition to the Race Directors and/or Medical Director(s) prior to the race. All information about the runner’s medical details, including any information provided pursuant to this policy, will be kept strictly confidential. The Race Directors, with input from the Medical Director(s), will review the relevant facts and make a final decision.
If the runner is not in compliance with this policy, they will forfeit any place positions but will retain their official finish. Any announcements made by the race will simply state whether a runner was or was not in compliance with our policy and the associated action taken by the race. We will not disclose, unless requested or allowed by the transgender runner, any medical information related to the decision.
Entrance Policy for Non-Binary Athletes
All runners have the option to choose non-binary as a registration category option, as well as an option if you ‘prefer not to disclose’. These options will appear when creating a Race Roster account, and will auto-populate when you register for an event. If you already have an account you may want to edit your account to change your gender response, but you can also update this during registration.
We will offer podium awards in the non-binary category.

The PACE team wants to thank our friends at CMTR for laying the groundwork for this policy and granting us permission to build on their policy wording which involved extensive research and input from BC, Canadian and International sport organizations.
Entrance Policy for Transgender Athletes
- We will accept each entrant’s declared gender at face value, and no additional supporting evidence is required.
- A transgender female (male-to-female) entrant can register to compete as a female, provided they have undergone continuous, medically supervised hormone treatment for gender transition for at least one year prior to the race.
- A transgender male (female-to-male) entrant can register to compete as a male.
- Transgender male runners cannot register to compete as a female if they have begun hormone treatment for gender transition, that includes testosterone or any other banned substance (as defined by the World Antidoping Agency).
- Runners may compete in the category of their sex assigned at birth if they have not undergone hormone treatment.
- Transgender entrants, at their option, may provide medical documentation related to their transition to the Race Director and/or Medical Director(s) prior to the race. All information about the runner’s gender identity and medical information, including any information provided pursuant to this policy, will be kept strictly confidential.

Participation presents numerous medical risks, many of which can be extremely serious or fatal. Participants must be 17 years of age or older on race day. We will, however, accept runners under 17 years old with written signed parental consent.

PACE Trail Series Race Management reserves the right to add, modify, replace or cancel venues or events and/or make changes and amendments to the race rules and regulations at any time. Please note that if changes are made, PACE Trail Series Race Management will communicate any updates to the registered racers so that they can make the appropriate adjustments to their preparations for the race.
PACE Trail Race Rules and Trail Etiquette
While participating in any PACE Trail Race in our series, you will be traveling through Private and Crown Land. Our routes are open to the public on race day so be courteous and aware of other users. Please be polite and respect local residents so as to minimize any disruption.
Infractions
Participants are expected to behave in a sportsmanlike manner. Race Management reserves the right to impose sanctions for behaviour not specifically mentioned here. Official protests must be made directly to the Race Director. In the case of unclear or contested infractions, a jury of available racers, volunteers and race marshals may be assembled to provide an opinion to the Race Director. However, the Race Director reserves the right to make the final decision.

PACE Trail Race Rules and Trail Etiquette
While participating in any PACE Trail Race in our series, you will be traveling through Private and Crown Land. Our routes are open to the public on race day so be courteous and aware of other users. Please be polite and respect local residents so as to minimize any disruption.
- All participants must complete an online waiver when registering. If for some reason a waiver does not get completed online, one must be signed and returned to Race Management prior to the race in order to participate – no exceptions.
- Race numbers must be visible and worn on the front at all times and all runners must be checked through each checkpoint by a race official. It is the runner’s responsibility to ensure that the official sees the number.
- It is MANDATORY that runners check in at the start line and at each aid station.
- Please obey Race Marshals, Crossing Guards and Aid Station Volunteers.
- No short cutting on any portion of the race course. If a runner makes a wrong turn, the runner must return to the course on foot to the point on the course where the error occurred and then resume the race.
- No Pacing: Non-participants may not accompany registered runners (on foot or otherwise) along the course.
- Runner Assistance: Runners may not receive assistance outside of designated Aid Stations by anyone other than another registered active runner. This standard is enforced for fairness to all runners. However, you are allowed to receive assistance from a crew within Aid Station boundaries so long as your crew does not impede other runners or race staff.
- Runners may not store supplies of any kind along the trail.
- Dropping Out: If you find it necessary to drop from the race, you must do so at an Aid Station and notify the Aid Station captain. If you feel you cannot get to the nearest Aid Station, stay on the trail so that race staff can assist you. If we can’t account for your whereabouts an expensive search and rescue operation may be initiated which may result in ban from future races.
- Mandatory Drop Out: Medical staff and Aid Station captains have the authority to remove a runner from the event, should they deem it unsafe for the runner to continue. The runner must comply with this decision.
- Do not litter on the course. This will result in disqualification.
- Please use bathrooms, portable toilets or use common sense.
- Runners must yield the trail to others wishing to pass.
- If you come across an injured fellow runner, please stay with that person until the sweep or medical attention arrives. Your care and attention to the needs of your fellow runners is appreciated.
- No dogs
- No babies, baby carriers, or joggers.
- Headphones are not permitted.
- Where applicable, vehicles have the right of way.
- Runners cannot get into a vehicle or on a bicycle.
- Poles are allowed and recommended.
- Crews are not allowed to take motor vehicles to areas designated as off-limits. All of the trails in VTYH are non-motorized.

- Receiving aid outside of an Aid Station from someone other than a registered runner.
- Getting into a moving vehicle or bicycle.
- Short cutting the race course. Short cutting also puts at risk the ability of PACE hosting future races on Crown Land.
- Having a pacer.
- Missing a checkpoint.
- Failing to remain at a checkpoint for medical evaluation on request of checkpoint personnel.
- Disobeying the directions of Race Management and/or any race volunteers.
- Deliberately impeding another runner.
- Having a dog or other animal companion on the course.
- Non adherence to the Mandatory Gear requirements.
Infractions resulting in denial of future entry are:
- Mistreating race organizers, aid station personnel, other volunteers or other runners.
- Having crews take cars to areas designated as off-limits.
- Littering and/or mistreatment of the environment.
- Failing to respect private or public property.
- Running and/or crewing for a bandit.
- Failure to follow our Covid-19, pandemic, or other safety measures.
